Job Summary: The HR/Assistant position includes handling confidential personnel information and HIPAA protected client information. The candidate must have strong administrative skills, a high degree of organization, the ability to work independently with minimal direction as well as with a team. The ideal candidate will have strong interpersonal skills as he/she/they will interact with staff, clients and caregivers as well as funders and Board members and an understanding of how to maintain client confidentiality. This position is the face of the agency and is the initial person clients and outside providers are in contact with, so strong interpersonal skills are a must. Experience working with Developmentally Disabled population is a plus. Job Requirement: Strong computer skills including Word, Excel, Photoshop, Publisher Strong interpersonal and organizational skills Knowledge of HIPAA and maintaining client confidentiality 2 years' experience managing an office 1 years' experience working in an HR department Essential Duties: HR Create and post Job descriptions on indeed. Schedule candidates interviews and check references Generate applications Manage staff files and file documents as needed including creating new employee files and keeping files up to date Submit background check documents and DMV documents for new hires Maintain I-9 documents Manage staff files and storage per HIPAA Monitor and track new hire requirements on spreadsheets; file documents Manage all medical insurance applications, cancellations, updates, etc and coordinate yearly open enrollment Reconcile monthly medical, dental, vision invoice with internal insurance status and related spreadsheets Manage Medicare recipient's monthly payments and new sign-ups and related spreadsheets Maintain car insurance spreadsheet and notify managers prior to staffs' car insurance lapsing Work with insurance broker to ensure coverage and compliance with requirements Other duties as assigned. Skill Requirements: Strong Administrative and Management skills; knowledge of business and office management principles as well as resource allocation, project coordination and budgeting Strong computer skills including word, excel, knowledge of data bases, publisher, photoshop Strong written and oral communication skills Ability to work well with clients and staff. Experience working with the Developmentally Disabled preferred. Self-starter with strong time management skills. Ability to work independently and in a team Good problem-solving skills and an understanding of when to act independently and when to seek support Ability to work with accuracy and attention to detail to meet deadlines Ability to communicate effectively with other employees, the general public, HR and insurance related providers and clients using tact, courtesy and good judgment. Ability to adhere to established procedures and guidelines to keep accurate accounts, financial reports and HR files.
