Position Overview

Are you interested in shaping the design and delivery of U.S. benefit programs at an innovative software design and services company with the ultimate objective to ensure these programs support the attraction and retention of a highly engaged workforce? Apply your experience and expertise in a number of areas to maximize the effectiveness of our benefits programs.

Responsibilities

  • Responsible for planning, developing, benchmarking, and managing overall administration of employee total rewards programs including, but not limited to, U.S. health and welfare benefits, time off and leave programs as well as compliance

  • To be successful in this role, the ideal candidate will need the following skills and experience
  • Ability to manage, build and develop relationships with consultants, brokers, vendors, and cross functional teams such as People Experience & Operations, Legal, Payroll, Procurement, and others

  • Openness to driving change and manage competing priorities in a fast-paced environment

  • Focus on the employee experience and the delivery of modernized and competitive total rewards programs

  • Assist with the ongoing maintenance and enhancements of the Workday U.S. benefits enrollment portal:
  • Review and update system specs and benefits communications

  • Perform thorough testing to ensure that system is accurate and operates as designed

  • Report and track bugs

  • Lead annual Open Enrollment project

  • Audit Open Enrollment elections and attain required documentation

  • Maintain current and detailed benefits administration procedure manuals to ensure processes are followed consistently

  • Streamline and improve processes, proactively anticipate and avoid issues whenever possible and ensure processes are compliant with regulations

  • Recommend plan provision changes to ensure the plans are competitive and in compliance with regulations

  • Assist in benefits integration for mergers and acquisitions, maintain integrations action lists, and review due diligence documents. Orient acquired employees in benefit plan provisions

  • Participate in benefits surveys and assist with completing applications for "Best Companies" lists

  • Evaluate survey data, services, coverage, and options available to design and deliver programs that best meet the needs of Autodesk and its employees

  • Manage relationships with vendors for outsourced administration and transactions

  • Establish and maintain strong relationships to ensure high quality service. Ensure compliance with Company guidelines and legal regulations

  • Determine which tasks should be outsourced or kept in-house

  • Coordinate leaves of absence, including medical, family, and personal leaves with external Leave Administrator, Payroll and HR. Work with HR Business Partners and managers regarding complicated leave situations

  • Analyze and update policies and plans, taking into consideration prevailing practices and trends amongst peers to establish and ensure competitive programs

  • Process invoices accurately and in a timely manner. Troubleshoot and resolve any billing issues that may arise

  • Communicate provisions of benefits programs to employees using presentations, written materials, and emails. This includes new employee orientations. Provide customer service including providing plan information to employees.

  • Review and edit U.S. benefits guide and coordinate posting and distribution of benefits materials. Send emails to employees pertaining to enrollment and respond to their questions in a timely manner

  • Maintain benefits information on the shared services site and benefits communications portal

  • Work closely with various reporting and system tools to maintain, distribute, and communicate information

  • Review and edit Summary Plan Descriptions

  • Liaise with internal departments, external providers, and third-party administrators to resolve issues for employees

  • Actively participate in vendor and network meetings, surveys and regularly engage in activities to grow and strengthen network

  • Provide accurate and timely information to internal and external customers, which may include the following:
  • Reconcile and audit data and reports to ensure accuracy

  • Coordinate external audits and outsourced preparation of benefits-related tax filings

  • Provide benefits-related data for the Company's financial reports

  • Prepare and analyze monthly statistics used for tracking benefits expenses and forecasting the fringe benefits budget

  • Provide benefits-related financial reporting information for SEC reporting requirements

  • Prepare reports used for non-discrimination testing

Minimum Qualifications

  • 8+ years of benefits experience, preferably in a role at a high tech, multinational company

  • Excellent analytical and critical thinking skills, able to present data and recommendations in an easy to understand, organized and logical manner

  • Ability to manage competing priorities in a fast-paced and constantly changing environment

  • Exceptional customer service, written and verbal communication skills

  • Strong program and vendor management experience

  • Experience with an HRIS and benefits enrollment portals. Workday Benefits experience is preferred

  • Excellent computer skills - proficient in Microsoft Office, especially Excel and PowerPoint

  • Bachelor's degree or equivalent experience in HR
