Charles Window & Door, a BMD, Inc. company, has an exciting opportunity for a Service Coordinator for our Service department. The Service Coordinator oversees and coordinates all administrative activities related to Service, including, but not limited to, proposals, contracts, job costing, scheduling, and coordinating.This role is onsite in San Rafael, CA, with the possibility to become hybrid.ESSENTIAL FUNCTIONS: Day-to-day coordination of schedules and appointmentsAdd qualified calls and project information into Salesforce/Marketsharp and manage updates and pipeline timelyTrack projects and billable hours for customer billingCreate invoices and send to customersInterface with Accounting to resolve billing and collections issuesEnsure administrative functions run effectively and efficientlyCreate and maintain office workflow processes and proceduresTrack and monitor employee work schedulesReview, update and approve time worked in UltiPro/Quickbooks TimeAssists, and coordinates various activities of installation and services to ensure completeness, accuracy, and timeliness.Assists with proposal preparation and contract administrationCoordinates activities related to preparing accounting reports, managing various construction and service deployments, material procurement and job cost reportsReconciles accounts and interprets data to assist management with efficiencyEnsure adherence to internal control procedures and assist with internal and external audits.Assists, and coordinates activities of Technicians and Installers involved in various construction projects, field service deployments, engineering projects and field-testing operations.Demonstrate a commitment to the quality improvement process and the philosophy of continuous improvement; identify and respond actively and with sensitivity to the needs of all customers; participate as a team player in all phases of the organization; and is open and responsive to change.Personally, provide customers with knowledgeable, courteous, and prompt service at all times.Comply with all Company policies and procedures.Adhere to the Company's safety standards and enforce safety regulations.Other duties as assigned.QUALIFICATIONS: Education and/or ExperiencePrior administrative experience in a construction, architect or engineering office.Advance skills with Microsoft Office, WORD, Excel, PowerPoint.Prior accounts payable and receivable experience.Professional written and verbal communication skills.Works independently but able to collaborate with other departments.Ability to respond to common inquiries or complaints from customers, or members of the business community.Requires use of tact to avoid conflict in carrying out assignments, as well as exercising continuous judgment.Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
